ABSTRACT

This research work is focused on the development of an automated sales procurement system for cement shop using Nabuk Uwa Cement shop in Ikot Ekpene as a case study. The research work was necessary because of the problems of the existing system such as manual documentation of sales procurement transaction on receipt booklets, inability to monitor sales procurement information due to missing receipt booklets or torn parts of receipts, in the case of a mistake, sales procurement information cannot be easily updated, sales procurement reports cannot be instantly presented. The objectives to solve the problems are to implement a system that can be used to register sales procurement information to database, to create a system that can be used to easily update sales procurement information, to develop a system that can be used to present reports of sales procurement. The significance of the study are: it served as a management information system (MIS) to the  management of the cement shop it facilitated proper record keeping of sales procurement records, sales procurement records can easily be verified and reports of sales procurement can be easily presented when needed. The research methodology was a survey of case study, and data was obtained from secondary sources such as the internet. The programming language used is Visual BASIC and the database used is MySQL.

INTRODUCTION

  1.  Introduction

This chapter presents the introduction to the research work on automated sales procurement system for cement shop. It presents the statement of the problem, background of the study, aim and objectives of the study, significance of the study, scope of the study, organization of research and definition of terms.

An automated sales procurement system for cement shop is a system that enabled the sales staff to register cement stock and sales record so that reports of cement stock and sales procurement records can be easily retrieved when needed. Also, the system enables the stock level of cement to be updated.

1.1 Background of the Study

A company’s buying and selling departments are primarily focused on responding to the demands which are classified as internal and external demands. Although internal demand comes from other parts of the company, external demand refers to what needs to be answered to the customer. In this case, the company employees assume the role of purchaser and/or seller towards other companies and customers, and the mistakes being made in such negotiations have the serious potential to affect the firm’s profit and financial status compared to its competitors. There is therefore need to implement an automated sales procurement system to forestall this problem.

Cement companies are into the business of buying and selling cement to customers in different locations. There is a documentation of sales transaction on receipt booklets. Duplicate copies are maintained by the company for verification sakes. When customers buy cement, they are issued a receipt and arrangements for delivery is made. However, because of the paper based receipt system used, it is often torn, or misplaced which also created an avenue of stealing. This situation can affect the growth of the company as there are unable to monitor sales procurement records. In view of this, an automated sales procurement system for cement shop is created.

1.2 Statement of the Problem

The following problems were identified in the existing system:

  1. Absence of an automated system to register cement sales procurement information.
  2. In the case of a mistake, sales procurement information cannot be easily updated.
  3. Receipt booklets can easily be torn or misplaced.

The aim of this research is to develop an automated sales procurement system for cement shop. The objectives include:

  1. To create a system that can be used to register sales procurement information to database.
  2. To create a system that can be used to easily update sales procurement information.
  3. To design a system that can be used to present reports of sales procurement.
