DESIGN AND IMPLEMENTATION OF EXPELLED STUDENTS INFORMATION MANAGEMENT SYSTEM

ABSTRACT

The creation and management of accurate, up-to-date information regarding a student’s academic career is critically important in the management of a university. This research focuses on the design and implementation of a comprehensive expelled student information system and user interface to replace the current paper records. The system utilizes user authentication, displaying only information necessary for an individual’s duties. Additionally, each sub-system has authentication allowing authorized users to create or update information in that sub-system. All data is thoroughly reviewed and validated on the server before actual record alteration occurs. In addition to admin user interface, this system features a student user interface, allowing users to access information and submit information electronically, saving both completion and processing time. All data is stored securely on SQL servers that would be managed by IT department. Standard best practices are employed throughout the system to ensure the highest possible level of security and standardization. The system features a complex logging system to track all users’ access and ensure conformity to data access guidelines. This system is expected to increase the efficiency of the university record management thereby decreasing the work hours needed to access and deliver student records to users throughout the day, and again later to file these records. It is anticipated that this system will increase the efficiency of the school information system in regard to students’ expulsion, and allow staff of the University of Uyo to monitor students effectively.

CHAPTER ONE

INTRODUCTION

Expulsion, or permanent exclusion, refers to the removal or banning of a student from a school system or university due to persistent violation of that institution’s rules, or in extreme cases, for a single offense of marked severity. Laws and procedures regarding expulsion vary between countries and states.

Various colloquialisms refer to this practice for example, being kicked out of school or sent down. The alleged practice of pressuring parents to voluntarily withdraw their child from an educational institution is a comparable exercise.

This research will focus on the design, implementation, testing, and analysis of a comprehensive, integrated, semi-autonomous expelled student management information system and user interface (UI) to replace the paper records. The system will utilize a system of user authentication, displaying only the information necessary for an individual staff member’s duties. In addition, each sub-system will have authentication which will allow authorized users to create, update, or remove specific information in that system. All data will be thoroughly reviewed and validated on the server before actual record alteration occurs.

Significantly fewer man hours will be necessary to access and deliver expelled student records to users throughout the day, and later to file these records again. It is anticipated that this system will increase the efficiency of the department, and allow staff to better serve students.

1.1  Background of the Study

Many schools have their own system to manage students’ expulsion of students. Common practice is by recording the expelled student information in a record book set aside for that. Expelled students’ information is obtained from the registration form completed by them when they registered for the first time and those expelled are selected and kept in a separate file. This practice has some weaknesses such as the longer time to search the student profile and current status, the possibility of misplacement of record book and vulnerability of student record to be accessed by unauthorized person. The case study is not free from these challenges and so this research work is considered and research to encounter them.
