ABSTRACT

The major purpose of this study was to examine the relevant of office technology in the performance of secretarial duties in an organization. Three research questions were formulated to guide the study. An ex-post factor research design was used. A questionnaire titled “Relevance of office technology and secretary’s ‘performance” was used to gather data. 60 out of 100 staffs of Ministry of Women Affairs and Social Welfare were used as sample for the study. Data collected were analyzed using chi-square. Findings revealed that office technology significantly enhance the secretary’s performance. Based on the findings, it was recommended that the storage ministry of education and National Board for Technical Education (NBTE) should equip schools with equipment like studio to enhance shorthand writing transcription.

INTRODUCTION

1.1 Background of the Study

Learning may not be effective in school, college, polytechnics and universities without technology. A good and fair knowledge of it’s usage makes lesson simple and concrete. The use of technology also lubricate and prepares the students for more effective and meaningful participation to acquire knowledge. According to Elendu 2006, office is defined as a building or part of building or room the administrative and clerical duties are carried out in an organization. A.S.Horby defines technology as a scientific knowledge used in practical ways. (Oxford Advanced Learners Dictionary). Office technology is the study of the methodology or technique of the use and application of automated systems to the execution of secretarial and office functions. Also, office technology means the application and use of automated systems to perform clerical duties and secretarial duties and secretarial functions. In acquiring skills, equipment or facilities like computers, electronic typewriters, computerized telephone systems, collating machines, duplicating machine etc are very essential to help the students acquire more skills in terms of accuracy and perfection. Furthermore, in recent years, the role of secretaries has been increasingly important and expanded due to the development of the new technology called information technology. The technology used is made possible by students preserving, utilization or practical science such as mechanical sciences to develop tools equipment, machines and methods etc. Therefore there exists a relationship between information and Office Technology and Management (OTM) Hence, the need for office technology and management students to have regular access to, and practice with technology Lewahveicha means naogte be over emphasized.

Education is a process that aims at the socialization of an individual to prepare himself or herself for adult life of the society (Odey, 1988). In any society, the objectives of education is directed towards a goals which may be skill development which could only be achieved with the aid of technology. In further explanation, training of secretaries, three broad areas are covered namely the secretaries, General Business knowledge and General Education. The curriculum is so designed that no completion of the course, & the trainees are well equipped to function effectively as a self-employed person or as an employee. It is common to hear people complain about some secretaries job performance. Most of these complaints are against secretaries who may not have acquired any professional training. Considering the above background, the training of secretaries becomes a crucial requirement for efficient job performance in any organization. Technology helps in molding employee’s personality, thereby making them accomplish the organizational goals and objectives. The ultimate goals technologies are to help to develop and make him or her to be capable performing his or her duties with maximum efficiency and effectiveness in an organization (Ubeku, 1975).

1.2 Statement of the Problem

There has been incessant outcry all over the country about the fallen standard of education in our institutions. The evidence of this face is noted by yearly report on poor performance of students in various level of examinations conducted by educational bodies in the country. This may be due to high rate if inflation for the purchase of necessary technological equipment to aid development of necessary skills in the performance of secretarial duties. Today, Office Technology and Management (OTM) has attained a dominant position in educational system and its importance has gone far and wide throughout business and economic systems.

1.3 Purpose of the Study

The objectives of this study are: To determine how recording of information influences secretaries effectiveness in record management. To determine how word processing of information influences secretaries effectiveness in record management. To determine how record storage of information influences secretaries effectiveness in record management.

1.4 Significance of the Study

It is hoped that the findings of this study will be of great help to students in Schools, Colleges, polytechnics and Universities as it seeks useful solutions and answers to some of the problems encountered by students and how to achieve smooth transfer from school to work situation. Furthermore, this study will show relevance of office technology to performance of secretarial duties in an organization.
